Privacy Policy

1. Introduction

Hogado is a digital workplace platform designed to optimize internal company workflows, communication, and knowledge sharing. In delivering these services, Hogado processes a range of personal, organizational, and usage-related data. This policy outlines how data is collected, processed, stored, shared, and protected across all Hogado applications.

2. Data Collection

2.1. Personal and Company Information

We collect the following information upon user registration, onboarding, and use:

  • First and last name
  • Email address
  • Phone number (optional)
  • Profile picture
  • Team and role assignment
  • Company name, description, logo, and primary color

2.2. Media and File Uploads

Users may upload media (images, videos, documents, voice messages) using:

  • Camera or file picker
  • Microphone (for voice messages)

Uploaded files are stored in Firebase Storage, and file references are saved in Firestore.

2.3. Authentication and Device Data

  • Authentication credentials are handled via Firebase Authentication.
  • Credentials are stored encrypted using flutter_secure_storage.
  • Push notification tokens (FCM) are stored and linked to user accounts.
  • Onboarding progress is stored using SharedPreferences.

3. AI and External Services

Hogado integrates with OpenAI’s API to enable AI-assisted features such as:

  • Generating task descriptions or events
  • AI chat with company-specific knowledge

Note: Prompts sent to the API may include user-entered questions, company data, or task content.

All communication is via secure HTTPS and uses securely stored API keys.

5. Local and Device Capabilities

  • Kamera: for capturing profile or document images
  • Microphone: for voice messages
  • Local Storage:
    • flutter_secure_storage for credentials
    • SharedPreferences for onboarding status

6. Communication & Notifications

Cloud Functions may send account creation or reminder emails. Push notifications are sent using FCM. Tokens are securely stored and used only for these purposes.

7. Data Sharing and Visibility

7.1. Internal Company Visibility

Company members may access relevant shared content like tasks and events, based on their roles and permissions.

7.2. Third Parties

We do not sell or share personal data. Data is only shared with:

  • OpenAI (AI features)
  • Google Firebase (platform backend)

8. User Rights

Users have the right to:

  • Access: View stored data
  • Rectify: Update incorrect data
  • Delete: Request complete data removal via callableDeleteUserFunction

9. Data Retention

Data is retained during account use and deleted upon request. Analytics and crash logs may be stored in anonymized form for diagnostics and improvement.

10. Data Security

  • All communication is encrypted via HTTPS
  • Credentials are stored securely with encryption
  • Firestore access is role-restricted
  • Media access is protected via secure URLs
  • API keys are securely managed
